CVMI-2026 Registration Policy – No Refund and No Return

Please read this policy carefully before completing your registration. By registering for CVMI-2026, you acknowledge and agree to the terms and conditions outlined below.

1. Registration Fees – No Refund Policy

All registration fees paid for CVMI-2026 are final and non-refundable.

Once a registration has been successfully completed and payment has been received, no refunds, credits, transfers, or returns of registration fees will be provided under any circumstances, including but not limited to:

• Change of personal plans
• Inability to attend the conference
• Travel restrictions or visa issues
• Medical emergencies
• Scheduling conflicts
• Failure to obtain leave from an employer or institution
• Technical issues unrelated to the conference
• Any other personal or professional reasons

Participants are advised to carefully review all registration details before completing payment.

2. Paper-Linked Registrations

Each accepted paper must have at least one author registered at the applicable author registration rate to ensure inclusion in the conference proceedings and IEEE Xplore.

If a registered author is unable to attend:

• The registration fee remains non-refundable.
• Another co-author may be nominated as the presenting author, subject to approval by the organizing committee.
• Failure to maintain at least one valid author registration may result in withdrawal of the paper from the conference proceedings and publication process.

3. No-Show Policy

Participants who do not attend the conference for any reason will be considered a “no-show.”

No refunds, credits, or compensation will be provided for no-shows.

4. Substitution of Participants

Registered participants who are unable to attend may request a substitution of attendee from the same organization or research group, subject to approval by the organizing committee.

• Requests must be submitted in writing to the conference secretariat.
• Substitution requests should be received at least 10 days before the conference.
• No additional registration fee will be charged for approved substitutions.

5. Conference Cancellation or Postponement

In the unlikely event that CVMI-2026 is cancelled, postponed, rescheduled, or modified due to circumstances beyond the control of the organizing committee, including but not limited to force majeure events such as natural disasters, government regulations, public health emergencies, labor disputes, or technical disruptions:

• Registration fees will remain non-refundable.
• Registrations may be transferred to the rescheduled conference dates or alternative conference format, as determined by the organizing committee.
• The organizing committee shall not be responsible for any travel, accommodation, visa, or other expenses incurred by participants.

6. Workshop and Tutorial Registrations

Fees paid for workshops, tutorials, special sessions, or other conference-related events are also non-refundable.

Participants who are unable to attend such sessions will not be entitled to any refund, credit, or transfer of fees.

7. Payment Processing Charges

All payment gateway fees, bank charges, transaction fees, taxes, and other associated costs are non-refundable under all circumstances.

8. Acceptance of Policy

By completing the registration process and making payment, participants confirm that they have read, understood, and accepted this No Refund and No Return Policy in its entirety.
