By registering for, submitting a paper to, or participating in CVMI-2026, you agree to be bound by these Terms and Conditions. Please read them carefully. These terms apply to all participants including authors, reviewers, attendees, speakers, sponsors, and exhibitors.
In these Terms and Conditions, the following definitions apply:
Registration is open to researchers, academics, industry professionals, PhD students, and others engaged in fields related to computer vision, machine intelligence, and artificial intelligence. The Organizing Committee reserves the right to refuse or revoke registration in cases of policy violations or misrepresentation.
All participants must provide accurate and complete information during registration. Any false or misleading information may result in the cancellation of registration without refund.
Each accepted paper must have at least one registered author at the full author registration rate by the camera-ready submission deadline. Failure to meet this requirement will result in the paper’s exclusion from the proceedings and IEEE Xplore.
Registration grants the participant access to the general conference sessions, keynote addresses, and common facilities for the duration of the Conference. Access to specific workshops, tutorials, or social events may require separate registration or additional fees.
Authors warrant that submitted manuscripts are original, have not been previously published, and are not under review at any other venue at the time of submission to CVMI-2026. Simultaneous submissions to multiple venues are strictly prohibited.
CVMI-2026 employs a double-blind peer-review process. Authors must ensure that submitted manuscripts contain no identifying information including author names, affiliations, acknowledgements, or self-identifying citations. Submissions that violate anonymity requirements may be desk-rejected.
All submissions are subject to plagiarism screening. Any form of plagiarism, self-plagiarism, data fabrication, or research misconduct will result in immediate rejection and may be reported to the authors’ home institutions and IEEE. Authors are responsible for obtaining all necessary permissions for third-party content included in their manuscripts.
The decision of the Program Committee regarding acceptance or rejection of papers is final. The Organizing Committee does not enter into correspondence regarding individual review decisions beyond the official notification provided.
Authors of accepted papers are required to complete an IEEE copyright transfer form prior to the camera-ready submission deadline. By transferring copyright, authors grant IEEE the exclusive rights to publish, reproduce, and distribute the paper in all forms and media.
Following copyright transfer, authors retain the right to use their work for personal, educational, or non-commercial research purposes, including posting the accepted manuscript (not the final IEEE-formatted version) to personal or institutional repositories, subject to IEEE’s standard author rights policy.
Authors are solely responsible for obtaining all required permissions for any third-party material (images, data, tables, code) included in their submissions. The Organizing Committee accepts no liability for copyright infringements in submitted or published papers.
Important: Camera-ready papers that do not comply with IEEE formatting guidelines or that lack a completed copyright transfer agreement will not be included in the proceedings or submitted to IEEE Xplore.
CVMI-2026 is committed to providing a respectful, inclusive, and harassment-free conference environment for all participants, regardless of gender, gender identity, sexual orientation, disability, physical appearance, race, nationality, religion, or academic seniority.
The following behaviours are strictly prohibited at the Conference and in all associated online platforms and communications:
The Organizing Committee reserves the right to remove any participant from the Conference without refund for violations of this Code of Conduct. Serious violations may be reported to the participant’s home institution, IEEE, or relevant professional bodies.
All registration fees must be paid in full at the time of registration. Fees are quoted in Indian Rupees (INR) for domestic participants and in US Dollars (USD) for international participants. The Organizing Committee accepts no liability for exchange rate fluctuations or banking charges incurred by participants. Registration is confirmed only upon receipt of full payment. For refund terms, please refer to the separate Refund Policy.
The Organizing Committee shall not be liable for any direct, indirect, incidental, or consequential loss or damage arising from participation in or exclusion from the Conference, including but not limited to travel costs, accommodation costs, or loss of earnings.
The Organizing Committee shall not be liable for failure to deliver any part of the Conference programme due to circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, governmental orders, strikes, or acts of terrorism. In such circumstances, the Organizing Committee will endeavour to communicate changes promptly and to offer appropriate alternatives.
The Organizing Committee accepts no responsibility for the loss, theft, or damage of any personal property of participants during the Conference.
Participants are expected to comply with all health, safety, and security regulations in effect at COEP Technological University during the Conference. The Organizing Committee reserves the right to implement additional health or safety measures as required by institutional or governmental guidelines.
By attending CVMI-2026, participants consent to being photographed, filmed, or recorded for the purpose of documenting and promoting the Conference. Such materials may be published on the conference website, social media channels, and in IEEE publications. Participants who do not wish to be recorded must notify the Organizing Committee in writing before the event.
These Terms and Conditions are governed by and construed in accordance with the laws of India. Any disputes arising from or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Pune, Maharashtra, India.
The Organizing Committee reserves the right to amend these Terms and Conditions at any time. Material changes will be communicated via the conference website. Continued participation in the Conference after such notice constitutes acceptance of the amended terms. It is the participant’s responsibility to review these terms periodically.
