CVMI-2026 Registration Policy – No Refund and No Return

This policy governs all registrations for CVMI-2026. By completing registration and submitting payment, participants acknowledge and agree to the terms set forth below. Participants are strongly encouraged to review this policy carefully before making any payment.

1. No Refund and No Return Policy

All registration fees paid for CVMI-2026 are final and non-refundable.

Once payment has been successfully processed, no refunds, returns, credits, or reimbursements will be provided under any circumstances, including but not limited to:

• Cancellation by the participant.
• Inability to attend the conference.
• Travel restrictions or visa denial.
• Medical emergencies.
• Personal or professional scheduling conflicts.
• Technical issues unrelated to conference operations.
• Failure to present an accepted paper.
• Any other unforeseen circumstances.

All registrations are considered final upon receipt of payment.

2. Non-Refundable Registration Fees

All registration-related charges are strictly non-refundable, including:

• Conference registration fees.
• Author registration fees.
• Workshop and tutorial registration fees.
• Submission fees (if applicable).
• Payment gateway and transaction processing charges.
• Bank transfer charges and currency conversion fees.
• Administrative and processing fees.
• Charges related to conference kits, printed materials, merchandise, or promotional items.

No requests for refunds, partial refunds, credits, or future-use adjustments will be accepted.

3. Author Registration Policy

For authors registering in connection with accepted papers:

• At least one author must maintain a valid registration for the paper to remain eligible for inclusion in the conference proceedings and IEEE Xplore.
• Registration fees paid by authors are non-refundable.
• If a registered author is unable to attend, another co-author may be nominated as the presenting author, subject to approval by the organizing committee.
• Failure to maintain a valid author registration may result in withdrawal of the paper from the conference proceedings and associated publications.

4. Workshop and Tutorial Registrations

Workshop and tutorial registrations are subject to the same No Refund and No Return Policy.

Participants who are unable to attend a workshop or tutorial session for any reason will not be entitled to any refund, credit, transfer, or compensation.

5. Conference Cancellation or Postponement

In the unlikely event that CVMI-2026 is cancelled, postponed, rescheduled, converted to a virtual format, or otherwise modified due to force majeure events or circumstances beyond the control of the organizing committee, including but not limited to:

• Natural disasters,
• Government regulations,
• Public health emergencies,
• Labor disputes,
• Technical disruptions,
• Acts of war or civil unrest,

the following terms shall apply:

• Registration fees will remain non-refundable.
• Registrations may be transferred to the rescheduled dates or revised conference format at the discretion of the organizing committee.
• Participants shall not be entitled to compensation for travel, accommodation, visa expenses, or any other costs incurred.

6. Registration Transfer and Substitution

Participants who are unable to attend may request a substitution of attendee, subject to approval by the organizing committee.

• Requests must be submitted in writing to the conference secretariat.
• Substitution requests should be received at least 10 days before the conference.
• Approved substitutions may be processed without additional registration fees.

The approval of substitution requests remains solely at the discretion of the organizing committee.

7. Payment Confirmation

Participants are responsible for ensuring that all payment information provided during registration is accurate and complete.

Once payment has been successfully processed and registration confirmed, the transaction is considered final and cannot be reversed by the participant.

8. Acceptance of Policy

By registering for CVMI-2026 and completing payment, participants confirm that they:

• Have read and understood this policy.
• Accept that all registration-related payments are final.
• Agree that no refunds, returns, credits, or reimbursements will be provided under any circumstances.
